If I am a current tenant, do I have to fill out a new application to move into a new unit?
Yes, applications are only valid for 30 days. We do have to pull your credit and background check when you apply for a different unit, so we are unable to waive application fees for current tenants.

What kind of fees are associated with the move-in costs?
None! We only require your application fee to be paid prior to approving your application. We do charge the security deposit and pro-rated first months’ rent that is not due until your lease start date and must be paid prior to being issued the keys and must be paid with certified funds (cashier’s checks or money orders).

How do I get extra keys for my unit?
Just call or come into our office and we will supply you with an extra unit key and we will adjust your key form. All issued keys must be returned upon moving out. Just be sure to do this during business hours to avoid incurring any lockout fees.

How long does it take to get my security deposit disposition back after moving out?
It could take up to 30 days after your moveout to return your deposit disposition back. On average, it will take closer to 15-21 days after move out. It will be sent out to you via email and postal mail and we have options to receive any remaining funds being sent back to you via direct deposit.

Do I need to have renters insurance and why?
Yes. Providing proof of renter’s insurance is a requirement in your lease. If proof of insurance is not provided, monthly fees will be added to your balance as well as compliance notices are sent to you. Having renter’s insurance will protect you and your belongings from any possible damage that may occur in emergencies or issues with the property.

How much notice do I have to give to move out?
You must give us at least 20 days’ notice from the end of the rental period if your lease is month to month to month or will be expiring at the end of the same rental period. For example, if you plan to move out on March 31st and your lease expires March 31st, you would have to give us notice and fill out our notice to vacate form by the 11th of March.

Where do I bring my keys upon moving out?
Please return the keys to our office during normal business hours at 471 SE Pioneer Way, Oak Harbor, WA 98277. We cannot begin processing your move out until you have returned the keys to our office and additional pro-rated rent charges may be applied. If you are returning keys after hours please put the keys/any receipts in an envelope or baggie inside of the drop box in front of our Oak Harbor office. If you are located on the Olympic Peninsula please contact Dana at Dana.f@360pm.us on coordinating a time/day to drop off the keys to our Port Townsend office.

How do I break my lease due to military orders/base housing acceptance?
You will have to fill out our notice to vacate form as well as provide a copy of your orders or base housing acceptance letter. If you are in a fixed lease term, then you would need to give your notice & copy of the orders at least 20 days prior to your vacate date. If you are in a month to month lease term, then you would need to give your notice & copy of your orders within 20 days of your vacate date.

What is your late fee policy?
If you know you will be late with your rent payment, please complete a late rent request by the 5th of the month. The late fee is $100 and may be waived after every 6 months (as long as the 6 months rent have been paid on time). If your rent is late and you did not complete a late rent request then you will also receive a 14 Day Pay or Vacate Notice and also an Eviction Warning letter that will each have an extra Notice Serving fee of $50. Communication is super important.

Is there a drop-box that can be used after hours?
Yes! We have two drop-boxes at our office, one next to each entrance to our office in Oak Harbor. You can leave your keys, rent checks, or any other non-emergent paperwork in the drop-box for us to pick up the next business day. Please make sure to write your name and address on the envelope or baggie with the items inside. We will reach out on the next working day to confirm that we received the items.

What is the application process?
Applications are first come first served and any adult 18 years and older needs to submit their own application. Each application needs to be complete with their application fee paid, proof of income, State ID, contact information, and rental history. Application fees are nonrefundable. Once we receive your application, you must have all application components submitted to us within 24 hours. The application process takes approximately 3-5 business days. We will primarily communicate with you about applications via email. Once an application is approved, then the lease will be sent to you digitally at which you have 72 hours to sign the lease.

How do I set up auto pay?
Once you have an appfolio portal created, then you can select the Home or Payments Tab. Select “Set Up Autopay” then select the your payment method (or enter in a new payment method), then select continue to verify details about what date you want this payment to transact and the frequency of the payments. Appfolio does charge a convenience fee when paying online, so when paying with a debit or credit card they will charge a 3% fee and when paying with the bank account/routing number they will charge a $2.49 fee. Remember that rent is due on the 1st of each month with the grace period through the 5th and the 6th would be considered late. 360 Property Management is not able to start/stop/edit any online payments for tenants. The online payment could take up to 5 business days to process out of your bank account, so please remember not to use those funds before the payment is transacted.

Can I pay rent with a debt/credit card?
Yes, you can pay with a debit or credit card in your tenant portal, but Appfolio will charge a 3% convenience fee. We do not accept card payments or cash payments in our office. In our office we only accept cashiers checks, money orders, or personal checks (no personal checks are accepted for the move in costs).

What are the penalties for breaking my lease early?
You would be responsible through the end of your lease or until a new tenant leases the unit, whichever comes first. If we are able to re-rent the unit during your financial responsibility to the lease, then your responsibility to the rent would end the day prior to the new tenants lease start date, plus you would be charged a $150 re-renting fee.

What is the guest policy?
Tenants are able to have a guest up to 14 days out of the year. If a guest stays longer than 14 days then they must submit an application to be added to the lease as an authorized guest.

How do I submit maintenance requests?
Tenants are able to submit maintenance requests on their appfolio tenant portal or by calling our office during business hours. We do have an afterhours maintenance emergency number at 360-818-9336. If there is a life threatening emergency, please call 911.

Is there a pet policy?
Yes, if a property is pet friendly, then it would be noted as pet friendly on the marketing description. Pets are not permitted in units that are not pet friendly. If the unit is pet friendly, then please review our Criteria for Tenancy to verify the pet meets our company guidelines for pets. If the pet meets all of our requirements, then submit a pet screening profile at 360teamrentals.petscreening.com. Once the pet screening is approved, then our leasing agent will send you a lease addendum to add the pet to the lease. Our normal policy for adding a pet (unless listed otherwise) is a $300 per pet deposit and $50 monthly pet rent.
